We are seeking an Artistic Coordinator/Librarian.

The Artistic Coordinator/Librarian will be responsible for providing support to the Artistic, Production and Education efforts of our organization.

Position requires strong knowledge of orchestral music, organization skills, professional demeanor, communication skills, listening skills, ability to work under pressure while maintaining a positive attitude, flexibility and evening hours.

Concert/Rehearsal Responsibilities

-Prepare for and attend all orchestra rehearsals and concerts.
-Distribute and collect music at all concerts and rehearsals.
-Ensure stage is set for each rehearsal and performance.
-Take attendance as needed at rehearsals and performances.
-Assist in providing hospitality and transportation to guest artists and conductors.
-Serve as “Manager on Duty” for events as assigned.

Library Responsibilities

-Music preparation, including but not limited to editing, proofreading, distribution, and marking string parts.
-Distribute music to all players in accordance with policies.
-Prepare and manage annual library budget under the direction of the General Manager.
-Report to all appropriate performance licensing organizations (ASCAP, BMI, SESAC) all music performed on all concert series and ensure annual fees are paid as required.
-Maintain the orchestra’s collection of scores and parts including repair and organization of music and folders.
-Arrange for rental or purchase of all required library material; keeping accurate financial records.
-Maintain a current file of publisher catalogues, research availability and cost of music to be ordered.
-Revise and update library policies and procedures as needed.
-Prepare excerpts for auditions as needed.

Administrative Responsibilities

-Communicate regularly with General Manager to address issues and to prepare for performances.
-Maintain accurate orchestra performance records.
-Assist in audition process as needed.
-Assist in the artistic planning and budgeting process.
-Attend staff and other meetings as required.
-Other duties as assigned or apparent.

Qualifications

-Bachelor’s degree in music or a related field.
-Knowledge of orchestral classical music.
-Excellent driving record and dependable transportation.
-Strong written and verbal communication skills.
-Proficiency in the use of computers for email, word processing, databases and other applications including a working knowledge of Word, Excel, Adobe and Access
-Attention to detail with ability to multi-task and execute plans effectively and with competing priorities.
-Ability to work both independently and as part of a team.
-Comfortable communicating with the public and with musicians, board, staff and volunteers.
-Positive attitude and ability to understand how the Artistic Coordinator/Librarian fits into the larger picture for an evolving, dynamic orchestral institution.
