We are a nonprofit organization in Seattle. Annually, 200 young singers enroll in our premier music education programs. These students -- boys ages 6 to 18, and girls 12 to 18 -- come from all corners of the Puget Sound region representing 115 diverse public and private elementary, middle and high schools. In our program, these children and young adults become skilled musicians and singers with a passion for the musical arts, and the unique ability to perform great choral literature and contemporary works at the highest professional levels.

Position: Office Manager/Executive Assistant

Reports to: Executive Director

Employee Status: Regular, part-time. 30 hours/week | Must be available to work Mon–Thurs: Noon - 6:30 pm, Fridays flexible. | Flexibility on weekends and evenings as needed for concerts and events.

Years Experience: 3-5 years

Education Level: Bachelor degree preferred

Career Level: Experienced (non-manager)

Qualifications: The ideal candidate for this part-time position will:
• Have excellent people skills. Be comfortable managing own responsibilities while working in a space frequently visited by choristers, parents, faculty, and visitors.
• Be self-motivated, have strong organizational skills, ability to prioritize and multitask effectively and ensures accuracy in all aspects of the job.
• Be motivated by and attentive to our choir mission, enjoy music, children of all ages and interest in the performing arts.
• Possess strong written and excellent verbal communication skills in English language, and an ability to meet the communications needs of the choir community and public.
• Have extensive experience and proficiency in Microsoft Office Suite (Word, Excel, Outlook), website management, good math skills and data base management. QuickBooks is a plus.
• Enjoy being detail oriented, organized, & professional. Be able to work in a fast-paced, changing environment and adhere to deadlines.
• Be a self-starter who is technology and internet savvy and have an interest in music and youth.

POSITION PURPOSE
We are seeking an Office Manager/Executive Assistant to support the Executive Director and Music Staff for the day to day operations of the organization, including special events and concerts. The Northwest Choirs’ multiple audiences include 200 member families, volunteers, funding groups, media, other music organizations, and potential members.

DUTIES AND RESPONSIBILITIES
• General office and administrative duties to include: email communication, copying, filing, answering phones, inventory, ordering supplies, mailings, maintaining membership records, volunteers, maintaining a database, keeping the space clean and tidy and well organized.
• Light bookkeeping to include general knowledge of QuickBooks and detailed Excel spreadsheets.
• Box office/ticket order support for concerts and events.
• Scheduling auditions and other needs for the membership.
• Update and maintain website including producing timely web content and coordinating with webmaster. Technical experience or a strong interest in technology and the internet will all be viewed as a benefit.
• Assist with event planning for concerts and other engagements.
