The Manager of Artistic Planning and Music Director Support provides artistic and administrative support for the development and execution of the BSO’s classical and non-classical programming, and administrative support and executive assistance for the Music Director.

Artistic Planning

* Assist VP of Artistic Planning in programming of main series classical programs, select summer concerts, special programs (such as Gala or MLK), pre- and post-concert performances, lectures and other non-subscription concerts; researching artist availabilities, obtaining recordings and press materials and staying current on industry happenings.
* Assist VP in research of new repertoire including possible composer commissions,
* Manage budgets for guest artists and artistic planning department
* Issue all guest artist contracts, ensure contract adherence and oversee the payment of all guest artists
* Assist the education department with all guest artist/conductor booking and contracts
* Collect rehearsal orders, string strengths, musical editions, etc. from guest conductors and guest artists for distribution to necessary staff.
* Serve as interface with all departments on all matters of artists and repertoire; manage communication of all updates regarding artists and repertoire.
* Under the direction of the General Manager, serve as Assistant Producer for Holiday Spectacular
* Create and manage the cover conductor schedule for all classical subscription weeks
* Assist in artist liaison duty and concert duty as needed
* Proofread PR and Marketing materials


Music Director Support

* Manage administrative support for Music Director
* Coordinate schedule and itinerary during 14 conducting weeks and 2 administrative weeks in Baltimore.
* Provide personal support on rehearsal, concert and administrative days
* Manage the Music Director’s domestic and international travel
* Coordinate and prioritize Music Director’s media, fundraising and community activities
* Organize and respond to all correspondence, phone calls and meeting requests
* Serve as Music Director liaison to all departments within the family (staff, musicians, volunteers, etc.)


QUALIFICATIONS AND CAPABILITIES

* Bachelor’s Degree in music or arts management with a minimum of 2-3 years professional experience in arts administration with a symphony orchestra (or equivalent experience) is required.
* Detailed knowledge of classical music and the ability to read music is essential.
* Knowledge of symphony orchestra structure and practices, symphonic repertory and guest artists/conductors required. Familiarity with other types of music (i.e.; Jazz, Pops, etc.) and artists associated with these types of music is highly desirable.
* Must be highly organized and demonstrate initiative, strong problem resolution and be able to participate successfully in a fast-paced, team-orientated constantly changing environment
* Must demonstrate the ability to successfully manage relationships with guest artists, staff conductors, our staff members, musicians and other constituents
* Must be able to work days, evenings and weekends as required
* Demonstrated proficiency in PC network environment and experience with Microsoft Office and Windows software is necessary. Some experience of OPAS (Orchestra Planning and Administration System) would be desirable.
* Ability to communicate effectively with individuals, and to handle calmly and efficiently situations ranging from routine to emergency
* Ability to handle multiple responsibilities and meet deadlines
* Must be flexible, mature and have a good sense of humor
