About the job

We are seeking a Development Associate to be responsible for providing administrative assistance to the Chief Officer of Development and support to the overall development department.

Responsibilities:
-Assist the Chief Officer of Development by answering incoming phone calls, preparing letters, preparing reports, scheduling meetings, arranging travel, and completing expense reports
-Organize major donor meetings, assist with stewardship of board, and major donors (identifying and sending gifts, thank you notes and etc.)
-Maintain City, State and Federal arts funding grant schedules (Participate in some governmental meetings)
-Assist in completing governmental applications under the direction of COD
-Prepare monthly donor benchmark reports against other NYC, Regional, National and International arts/performance organizations
-Prepare and maintain weekly development activity reports
-Prepare monthly top (50) donor reports
-Maintain master prospect list and development pipeline reports
-Run weekly lapsed donor reports by revenue categories
-Assist the Chief Officer of Development in communications with executive leadership and Board of Directors
-Process invoices, corporate credit card statements
-Maintain and update contact information in Database for Board Members and donors
-Provide assistance at concerts and/or events during the performance season by working during the evening hours or on weekends (as required)
-Assist with special projects or other tasks as assigned by the Chief Officer of Development

Qualifications:
-A minimum of 4 years of administrative experience in a development/fundraising department
-A Bachelor’s degree or equivalent relevant work experience
-Ability to take initiative and work independently
-Ability to work with confidential information in a sensitive manner
-Knowledge of and experience with donor databases, and experienced in Raiser’s Edge
-Excellent communication skills, both written and verbal, including pleasant and effective phone etiquette
-Excellent organizational skills and high level of attention to detail
-Ability to manage multiple tasks, prioritize, meet deadlines, and work graciously in a fast-paced environment
-Solid knowledge of Microsoft Word, Excel and Power Point.
-Ability to function as a team player and work collaboratively.
-A willingness and availability to work weekends and evenings as required.
-Knowledge of and/or interest in the performing arts is a plus
-Comfortable interacting with high level volunteers, executives and donors

Passion and/or knowledge of Jazz preferred.
