Scope
We are seeking an individual, group and/or company (Events Contractor) experienced in planning and promoting alternative rock shows featuring local bands and other promotional events to youth ages 15-20 within the local alt-rock, pop punk and/or emo subcultures in order to plan, book, promote and execute a show approximately once a month.
We are working to promote a healthy lifestyle through fully branded events that target alt-rock youth (ages 15-20) in the local alt-rock music scene in Northern Virginia. The strategy focuses on shows, street promotions, web, branded clothing and other scene-specific tactics. The Alternative Rock Show Events Contractor (Events Contractor) is expected to recruit and manage a local street team to promote events. The Events Coordinator would also work with the local venues and venue managers to set up rock shows. The coordinator would assist in maintaining online communities on the brand’s website, MySpace and Facebook and finding bands for the monthly band of the month voting competition. The coordinator would assist in finding local artists to create branded t-shirt designs for the brand and help in the creation of a monthly newsletter featuring pictures from shows, local bands, and local artist t-shirt designs.
Services to be performed
For each event, the Events Contractor is expected to achieve the following:
• Secure a venue for a rock show event that is approved by the company at least 4 weeks in advance;
• Secure event staff including, but not limited to, bands, brand ambassadors, street team, photographer, and MC at least 3 weeks prior to the event;
• Manage a local street and web promotions team to promote the event using print and digital materials provided by the company beginning at least 2 weeks prior to the event;
• Personally conduct necessary promotions with print and digital materials provided by the company beginning at least 2 weeks prior to the event;
• Acquire (through shipments from the company or reimbursed purchases) branded displays for the event and put them up at the event;
• Manage the event including managing onsite staff and entertainment;
• Ensure that raffle tickets provided by the company are filled out during event by at least 50% of attendees;
• Ensure the bands, MC and event staff properly communicate brand messaging as dictated by the company messaging sheets;
• Communicate regularly with company staff, including prompt responses to email and/or phone communications;
• Ensure at least 250 people attend event;
• Ensure all major event decisions (event venue, bands, etc) are approved by the company;
• Provide us with feedback, as requested, on event marketing materials, web designs and campaign advertising, including direct mail.
Compensation
Events Contractor will be paid $500 per nightclub event that fulfills the requirements above (frequency of events dictated by the company). In addition, Events Contractor will receive a payment of $1 per person, verified by venue management, that attends event beyond 250 people. Funding for all event costs including bands, displays, street promoters and event staff is separate from this contract. The Events Contractor is simply responsible for coordinating the event and will not be responsible for paying any of its expenses. Additional compensation for non-event based duties TBD.
