We are seeking a Administrative/Marketing Associate.
Overview:
Provide support for the general operations, marketing, and development activities of the theatre, including subscriber relations, fundraising appeals, database management and event/project coordination.
Reports to: General Manager (GM) and Artistic Director (AD)
Compensation/Hours: 25–30 hours per week at $10/hour. Some flexibility in standard work schedule (mutually agreed upon but to generally include weekday hours). Flexibility with unpaid time off, with prior notice. Unpaid days off for major holidays.
Responsibilities:
-General office management including phone answering, filing, managing incoming mail (snail and email), administrative support of GM and AD, supply maintenance, light cleaning, basic bookkeeping and credit card processing
-Maintain company databases, including adding/changing patron records, categorizing/segmenting of information, and running reports as requested
-Maintain online operations/activity calendar, with input from staff and committees
-Assist GM with season subscription program including
-Handling subscriber reservations/exchanges/requests and comp/VIP reservations
-Assisting with getting reservation information to box office
-Assisting with subscriber-related events, activities and communications
-Generating email and website promotions
-Coordinating poster and postcard distribution
-Coordinating in-theatre displays and promotions
-Coordinating group sales and identifying potential groups to target
-Assisting with social media initiatives
-Generating ideas for grass-roots promotion
-Coordinating donor appeals (letters and emails) and tracking response
-Coordinating production and execution of promotional materials (invitations, eblasts, etc.)
-Creating on-site signage
-Coordinating volunteers
-Processing registrations and auction items
-Assisting with onsite event management, including guest check-in, auction/product sales, volunteer management, and check-out
-Processing donations and acknowledgments
-Assist GM and AD with main-stage production administrative tasks, including
-Coordinating development of show program info with Artistic Director
-Creating opening night receptions, including obtaining complimentary food and beverages
-Producing audience surveys; enter feedback into database
-Communicating reservations and other information to box office
-Assist GM with company bookkeeping
-Other duties as assigned by General Manager or Artistic Director
