About the job

We are seeking an Administrative Assistant to provide administrative/secretarial support and general assistance to the Office of Special Events and to the Volunteer Council Officers who oversee volunteer activities. Responsible for some event coordination and management.

Responsibilities include:
- Provide administrative support for the Special Events Director and project support for the Special Events Department. Process departmental invoices and maintain accurate budget information for all events.
- Responsible for all aspects of planning and managing events such as Coffee Bars prior to Open Rehearsals and post-concert Green Room Receptions; as well as Volunteer Council events.
- Assist Volunteer Council Executive Committee with invoices, correspondence, meeting arrangements, office and gift-shop tasks, etc.
- Maintain and distribute Special Events calendar.
- Maintain Patron Lounge budget, storage, cleaning, purchasing and service.
- Manage the Special Events photo library.
- Staff galas and events.
- Miscellaneous duties as required.

Qualifications:
-This position requires a college degree, previous office experience and excellent computer, grammar and editing skills.
-Excellent organizational skills, sense of tact and diplomacy, and ability to work with multiple supervisors at the same time.
-Must be extremely detail-oriented and willing to work long hours.
-Prior Special Events experience and knowledge of Raisers Edge a plus.
